Part-Time Admin and Finance Executive

We are seeking a responsible and detail-oriented Admin and Finance Executive to support our daily operations. This part-time position is ideal for someone who has a background in finance and administration and is passionate about contributing to the nonprofit sector. The role involves managing admin tasks and supporting financial functions in coordination with our external bookkeeping company.
Finance Support:
  • Liaise with the external bookkeeping company to provide timely and accurate financial documents (e.g., invoices, receipts, expense claims).
  • Assist in the preparation of monthly expenditure reports and budgets.
  • Monitor cash flow and maintain petty cash records.
  • Ensure proper documentation of all financial transactions (digitally and physically).
  • Support in grant financial reporting and funder documentation requirements.
Administrative Duties:
  • Maintain organized physical and digital filing systems for finance, HR, and operational documents.
  • Manage office supplies, inventory, and general procurement needs.
  • Assist with scheduling meetings, preparing minutes, and supporting internal communications.
  • Coordinate logistics for workshops, training sessions, and other program events.
  • Help ensure compliance with NGO registration, insurance, and license renewals.
  • At least 1–2 years of experience in admin or finance roles (NGO experience preferred).
  • Familiarity with basic financial processes and documentation standards.
  • Proficiency in MS Office (especially Excel and Word); familiarity with Google Workspace a plus.
  • Good communication and organizational skills.
  • Ability to work independently with minimal supervision.
  • Experience working in or volunteering with NGOs or community organizations.
  • Basic understanding of grant reporting and donor compliance.
